Data Policy Chathive

Introduction

This document is intended to provide a clear picture of the data and privacy guidelines for customers using Chathive, a chat service that uses GPT technology from OpenAI in the background. We address topics such as GDPR compliance, how data is used and stored, and the general security protocols that Chathive observes.

GDPR Compliance

Chathive places great importance on the privacy and security of user data. We are therefore compliant with the General Data Protection Regulation (GDPR) of the European Union. In addition, Chathive uses GPT technology from OpenAI, which is also GDPR-compliant.

More information about OpenAI's security and compliance is available at:

Use and Storage of Data

Your data is treated with the utmost care. Chathive uses data centers in Belgium and the Netherlands (Google Cloud in Belgium and DigitalOcean in the Netherlands). These are specifically chosen to ensure redundancy and high availability. The data centers are housed with reliable cloud providers, and backups are set up to not leave the European Union.

OpenAI, the developer of the GPT technology used by Chathive, has a policy stating that they take no action with the data that comes in through their API. After 30 days, the data is automatically deleted from the system.

For more details about OpenAI's data usage policies:

In the context of our commitment to privacy and data security, we want to emphasize that the data we collect in Chathive is never used to train general models, nor is it shared with other customers. The following types of data points are kept by our system:

  • User conversation history
  • Source data used for training the chatbot
  • URLs of your website and its structure

Ongoing Backups

Chathive uses ongoing backups to ensure the safety and integrity of your data. These backups are kept in our system for up to one year.

Procedure for Deleting Data

Within the Chathive platform, we employ a 'soft delete' method for managing deleted data. This means that data is initially marked as deleted but is not yet permanently removed from our systems. However, if an end user (the person interacting with the chatbot) explicitly requests the removal of their data, we will proceed with a 'hard delete,' where the relevant data is permanently removed from our systems.

Customers can submit a formal request to delete data at any time via the following email address: [email protected]. We will execute this request using the 'hard delete' method, provided it does not compromise the compliance and operational integrity of Chathive.

Anonymous Nature of the Collected Data

At Chathive, we attach great importance to the protection of personal data. We collect personal data from users only when explicit consent has been obtained. An example of such a feature that requires consent is the 'Human Handover' function. For this, and any other future features that collect personal data, explicit consent from the user will always be required before data is stored.

Despite these measures, we cannot rule out that users themselves enter personal data into the chat outside of the specifically designed data collection features. In such cases, these chat messages will be stored in accordance with our general storage guidelines, in the same manner as any other chat message within the system.

No Fine-Tuning of Models

Chathive does not use the fine-tuning capabilities offered by OpenAI. This means that your data is exclusively stored in our own databases and not at OpenAI. This adds an extra layer of security and data privacy.

Conclusion

Based on the above points, we want to emphasize that Chathive is both a safe and compliant service for chat functions. We adhere to strict guidelines to ensure the privacy and security of your data.
